Event Organizers

Are you an event organizer? Here's how the Balloon Pilot Data Port can help you.

We'll manage all the documents a pilot needs to submit to your event. The pilot certificate, flight review, headshot, and medical, as well as the balloon's picture, annual, registration, airworthiness certificate, and of course Certificate of Insurance. We check them all for accuracy and currency. You get a report with the status of all these documents. You're free to concentrate on assigning launch sites, sponsors, and all those other tasks event organizers have to do. We can even help you send personalized emails with their specific information to your pilots. All you have to do is point your applying pilots to the Balloon Pilot Data Port to upload their documents.

More specifically, the Balloon Pilot Data Port reviews all pilot/balloon documents submitted. Each document is cropped, rotated, resized, and renamed for consistency and readability. Information, like dates, is entered into the system, which automatically calculates the expiration date for that type of document. Documents are checked against other submitted information, like address, certificate number, registration number, etc. A document is then marked as "Missing Doc", "Expired", "Expiring", or "Current/Valid" with each document aggregating to an overall Balloon or Pilot status. You can see at a glance if the balloon or pilot is up to date, and if not, you can see what document needs attention.

Services available to event organizers

• Simple E-mail report of your participating pilots and balloons listing the status of their documents.

• Anytime web access to this same report.

• Add a download of the actual documents. All documents are renamed to include the pilot name on the pilot documents and the registration number on the balloon documents.

• Get your own online, customized database to track all your pilot information. Add to the Balloon/Pilot data things like T-shirt size, lodging, sponsorships, etc. Comes with training and support.

• Get expert help from Balloon Pilot Data Port staff to populate your database. You submit the data, we'll import it to your custom solution. 

• The database can be configured to send bulk yet personalized emails to your pilots, letting them know of their sponsor, launch site, and other event information.

• Add a "scanning" check-in or attendance process to take roll electronically at your event.

In addition to the document reporting, we can help you design and manage your online application process.

Pricing

Cost is very reasonable. 

• Basic reporting starts with a $25 setup fee and $2.50 per participating pilot.

• Download of the documents, adds $0.50 per pilot

• Custom database starts with a $100 setup fee and $2.50 per participating pilot.

• Registration/Application online hosting $10 per "open" month.

• Additional services are charged based on the amount of time needed.

Depending on the timing and location of your event, we may be open to trading a pilot registration (pack and lodging) for services.
